Ways to buy stuff at Inria

Do you need to buy something for your experiments? The team typically has funds for equipment (confirm it first with your advisor), the hard part is navigating Inria’s bureaucracy. The “bureaucracy” is already documented (in French) on the intranet. Here is a summary of the possible ways to get it done:

Bon de commande

Inria sends an order request (bon d’achat). The seller must be a registered seller (if it’s not, it can be created)

The person who wants to buy must get an estimate of the order and send it to the team assistant

Some sellers have an agreement with Inria.

Menue Depense

Originally made for “small expenses” (<800€). Using it to buy hardware is kind of an outlier use case.

Buy yourself, ask for a reimbursement

Ask the team’s assistant
Send a receipt and a proof of payment

Basically just the shipping time.

Only if not available via Bon de commande or Marche, oherwise there’s a risk of not getting reimbursed.
If the item ships from abroad, you may also need to pay the TVA when the item goes through customs (Inria’s number is FR45180089047). You then need to submit another Menue Depense for the TVA payment.

Example: How to order electronic components on Mouser

Go to the Quote Request Form
Add your Mouser items in the list using the Mouser item id and number of items. The mouser id can be found on the item page. Example for nRF52840DK, the identifier is in the red box below
Validate each line, it should update with the correct item and update the total cost
Fill your information in the form as shown below (update the name, email, phone number according to your case):
Check everything is ok
Press “Envoyer la demande” and you should receive an email telling you the quote is being examinated. The mail contain a link to the quote information page where you can download it as pdf (in the red box, the button to download the pdf, in the green box, the quote number):
Send this pdf to the team assistant, put in CC the team lead who will give the agreement for the order and which bugdet to use.
